Position Summary

The Admin & HR Associate will report directly to the Executive Vice President and will be responsible for providing general administrative support and assisting in the day-to-day operations of the HR department. The position is based in Arlington, Virginia at Trout Unlimited's national office.

Duties and Responsibilities

  • Assist in the onboarding of new staff across the country as well as offboarding terminated employees.
  • Assist with developing and editing HR communications including organizational announcements, presentations, policies, forms, training material, job descriptions, etc.
  • Assist with creating and maintaining latest revisions of HR forms and policies, including updating SharePoint/Office 365 information as needed.
  • Assist with the organization's training program including scheduling, set-up, attendance, and evaluations.
  • Assist the HR team with process improvement and other important projects.
  • Work with HR to issue certificates of insurance for various activities and locations of the organization.
  • Act as national office point of contact for staff inquiries, including answering questions as able, and referring other questions or concerns to appropriate resources as needed.
  • Post jobs on various job boards and assist with interview scheduling as needed.
  • Process all incoming and outgoing mail, and ship packages for Admin, HR, Finance, & IT departments as needed.
  • Process invoices pertaining to the national office including ensuring proper coding of expenses.
  • Assist with inventory management, including coordinating with IT the replacement of staff laptops and managing all employee cell phones on the corporate phone plan.
  • Schedule meetings and conference calls and manage use of/setup meeting rooms.
  • Maintain national office equipment such as printers and photocopiers.
  • Act as point of contact for national office vendors, including management of building security/access.
  • Assist with facilities management such as daily up-keep of kitchen and office supplies.
  • Assist as needed with planning and executing office and organizational events, including catering when required.
  • Work with building management to address office issues/maintenance requests, as needed.

Qualifications

  • Bachelor's Degree and at least 4 years of office experience required; knowledge of Human Resources a plus.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Ability to prioritize and multi-task.
  • Self–starter, able to produce results with minimal supervision.
  • Experience developing and editing content in Word, Excel, and PowerPoint required; experience with Office 365 a plus.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Ability to communicate to staff at all levels with tact and diplomacy.
  • Adept at problem-solving, including being able to identify issues and resolve problems in a timely manner.
  • Ability to communicate clearly, both written and orally.
  • Ability to effectively read and interpret information, present data in a resourceful manner, and skillfully gather and analyze information.
  • Must be dependable and able to follow instructions, respond to management direction, and improve performance through feedback.
